Facilities Coordinator

Our Client, The Rescue Mission of Utica, is seeking a Facilities Coordinator to support their expanding and dynamic organization.

 Job Title: Facilities Coordinator – PT (30 hours)

 Job Summary: Manage and coordinate operations of the WSA related to the maintenance and repairs of building and property so that they are in the best condition possible at all times.


  • Essential Job Functions
  • Coordinate maintenance and repairs of the West Street property. Includes various types of repairs, but not limited to, carpentry, plumbing, minor electrical work, masonry, drywall, painting, HVAC, small engine repair, landscaping and snow removal.
  • Ensure that expenditures for materials and supplies are within the parameters of the budget.
  • Ensure required paperwork, to include but not limited to purchase orders, receipts, invoices, employment documents, etc., are submitted to the appropriate department in a timely manner.
  • Manage the building and property through a web based work order system.
  • Manage the trash removal for WSA.
  • Partner with supervisor with the coordination of physical plant project planning and WSA property.
  • Coordinate the removal of snow for the WSA by plowing/snow blowing/shoveling, to include but not limited to parking lot and walkways. Lawn care as needed during the spring, summer and fall months.
  • Maintain professional relationships with facility management subcontractors. Coordinate their services as approved.
  • Assist with the training of volunteers as needed.
  • Use/wear proper Personal Protective Equipment (PPE) at all times per the direction of the supervisor and safety guidelines.
  • Ensure that the Mission is in compliance with OSHA regulations.
  • Partner with supervisor with the Driving for Mission Business Orientation for approved Mission drivers.
  • Support the Mission’s Safety and Health Committee. Coordinate procedures with fire and police departments with response to alarms as needed.
  • Abide by all Mission, program and safety policies, procedures and guidelines.
  • Attend and participate in regular meetings and trainings as requested by your supervisor.
  • All other duties as requested by your supervisor.

 Minimum Job Qualifications

  • High School Diploma or equivalent; AAS Degree preferred.
  • Working knowledge of architectural, electrical and mechanical systems.
  • Experience with removal of snow through snow plowing, snow blowing and shoveling.
  • Management and supervisory experience preferred.
  • Certified in confined space and hazardous material safety preferred.
  • Ability to provide directions/model, delegate, train and supervise others.
  • OSHA certification preferred.
  • Intermediate skills with Microsoft Word, Excel and Outlook.
  • Ability to manage a web based work order system preferred.
  • Must have a clean and valid NYS Driver’s License.
  • Expected to work regularly scheduled daytime hours.

 Status/Hours: Part-Time, 30 hrs/wk, Monday – Friday
