Description A Customer Service Representative’s primary role is to uphold the interests of customers, and partner with them to pursue timely solutions to their service issues and needs. They will defend to the greatest extent possible, the needs of our customers, and utilize networking with the appropriate internal and external partners and resources to find timely and satisfactory solutions to our customer’s service issues, within the ability of the organization and it’s processes. The Customer Service Representative will always utilize their ability to clearly communicate, superior problem solving and issue resolution skills to find creative solutions to those issues which may be outside the current processes of the organization. Responsibilities: Performs order entry and revisions to orders as needed in a timely manner. Manages and produces required daily customer service team reports and assists with confirmations of pricing. Makes outgoing calls as required or directed by CS Supervisor.. Takes incoming calls for customer orders. Meets quality standards for order entry. Continues to build knowledge base of processes and procedures as well as product knowledge through various training initiatives through the organization and it’s leadership team. Performs any/all Tier I responsibilities Serves as an advocate for specified customer accounts or sales team as directed. Acts in the capacity of an advocate for our customer needs. Answers incoming calls and makes required outgoing calls to ensure prompt issue resolution. Follows 13. customer issues through to final resolution. Addresses any customer complaints or service issues as indicated in the Customer Complaint SOP. Handles credits and/or return of product for customers, including initial contact, communication, return estimates, damage assessment and final resolution while tracking information in database. Monitors and manages Customer Service Mailbox to ensure timely responses and prompt issue resolution. Proactive in assuring that potential service issues are addressed prior to becoming a service failure for our customer. Supports and works effectively with all internal partners as needed in regard to issue resolution or proactive process changes. Confirms pricing to customers/brokers within 24 hours from date of order receipt. Allocates and/or de-allocates product from Sales orders efficiently and as needed and understands allocation implications. Customer Service Representative support as it applies to Sales: 1.Process all calls for sales orders that come in directly from the customer or broker; sales should forward these calls to the appropriate customer service representative. Customer Advocate should work with customers providing their contact information for all order related requests. 2.Process all requests for specification sheets i.e. Nutrition, Specification, COA and Kosher certificates. 3.Provide pallet and case information i.e. ti/hi, weights, LxWxH, and cube, UPC and GTIN (if available). 4.Intervene in all delivery issues when there is a problem in real time- coordinates delivery appointments with trucking company and customers when necessary, call trucking company to determine appointment time and relay to customer or brokers. 5.Act as direct contact for all communication with DSC-follow up on all order issues as it pertains to the DSC 6.Follow through with Accounting on all orders that have credit/hold issues keeping sales in the loop. 7.Confirm all orders within a 24 hour time frame. 8.Support sales staff when they are traveling to the best of their ability. M-F 8:30AM - 5:00PM Requirements - Experience: •Consumer packaged product experience in retail, foodservice or industrial is a plus. Prior customer service experience in related field. - Education: •*High school diploma or general education degree (GED) plus 1 - 3 years of customer service experience in a manufacturing setting. •College degree preferred. - Other technical skills: •proficient in using Microsoft office applications, namely Excel [advanced], PowerPoint, Word and Outlook •SAP / Adonix experience and MRP and EDI (Electronic Data Interchange) preferred but training will be provided.
